Employee Hub is Trinity Hub's internal system for managing jobs, purchase orders, work orders, and the vendors and clients behind them. This guide covers everything from signing in to tracing a PO line back to the room it belongs to.

Getting in

Employee Hub requires a login, and access is restricted to an approved employee list — it's not open self-signup.

Go to trinityhub.app/employee-portal

You'll see the login screen if you're not already signed in.

Enter your email and password

Your credentials were set up for you. Use the email address you were given.

You'll land on the Home dashboard

Employee Hub remembers your session, so you won't need to sign in again until you explicitly sign out.

Not on the list? If your login succeeds but you immediately get signed back out with a message that your account doesn't have Employee Hub access, you're not on the approved employee list yet. Contact Jen (Finance) to get added — this is separate from having a Trinity Hub or WorkFlow login.

Home

Home is the first thing you see after signing in — a quick "what needs me" snapshot rather than a full workspace.

What you'll see

Welcome back, [your name] at the top, followed by a preview of your newest unread messages (see Messages below) and a WorkFlow — Due Today card.

Tip: The WorkFlow card is a preview only — click its button to actually open WorkFlow (in a new tab) and work the tasks. Employee Hub and WorkFlow are two separate apps that share your due-today list on this one card. See the WorkFlow guide for everything task- and time-tracking related.

Projects

Every piece of work moves through three stages, in order: ROM → Estimate → Job. Each stage has its own list under "Your Projects," and a project only exists in one stage at a time — moving forward locks the one behind it.

Starting a new project

Click + New Project. Give it a name, an address, and (optionally) a client. It's created as a ROM — the earliest, roughest stage.

One-way door: once a ROM converts to an Estimate (or a Job), the ROM becomes permanently read-only, with a banner pointing you to the live version. There's no going back to editing it as a ROM.

The phase tracker

Opening any project shows a clickable phase tracker at the top: ROM / Initial Bid → Finalizing Contract & Estimate → Signed Contract → Construction Started → Punchlist → Complete. This is the one place the phase actually gets changed — WorkFlow shows the same tracker on its Projects tab, but only as a read-only mirror of what's set here.

Danger Zone Admin only

Admins get a Danger Zone on a project's Overview tab that permanently deletes the ROM, Estimate, or Job — and everything tied to it. Regular employee accounts never see this option.

Rooms & Scope

Rooms and scope areas are how Trinity keeps every dollar traceable back to a physical part of the job — the core organizing idea behind the whole platform.

Defined once, at the ROM stage

Rooms & Locations, Scope Areas (trade/category groupings), Scope Items, and Assignees (who's responsible for which scope) are all set up while a project is still a ROM. Once it converts to an Estimate or Job, these become locked, reference-only "Locked Scope" cards on the project's Overview tab instead of editable tabs.

Where the traceability actually shows up

Every Purchase Order and Work Order line item carries a room, shown right in its detail view. Schedule subtasks go one step further and link to a specific PO or WO line item. So a schedule task traces to a PO/WO line, which traces to a room — every dollar and every task has a physical location behind it, even hops removed.

Purchase Orders

The Purchase Orders tab on a Job is where you review POs — it's a read-only view from the employee side; POs themselves are created on the finance/admin side and surfaced here.

The PO list

Filter by vendor at the top. Each row shows the PO number, description, vendor, a status label the PM sets, and the total dollar amount.

You only see what's yours — unless you're an admin: regular employees see only POs where they're the assigned employee. Admin accounts see every PO on the job.

PO detail & discussion

Click a PO to open its detail view: line items (each showing its description, linked room, and amount), plus a discussion thread scoped to that PO. Post a comment and, if you're not the assigned employee, they get notified in their Messages.

Work Orders

Work Orders work the same way as Purchase Orders — the Job's Work Orders tab is a read-only review list.

The WO list and detail

Each row shows the WO number, name, scope area(s), status, and total. Click one to see its line items (room and budget amount for each) and the same comment/discussion thread pattern used on POs.

Same visibility rule as POs: you see WOs you're assigned to; admins see all of them.

Schedule

Each Job has a Schedule tab — separate from WorkFlow's personal calendar, this is the job-level construction schedule.

Three views

Switch between List, Calendar, and Gantt. Click + New Task to add a schedule task with a title, description, start/due dates, and an assignee.

Dependencies and subtasks

Tasks can depend on other tasks (finish-to-start, with an optional lag in days), so the schedule shifts realistically when something runs long. Each task can also have subtasks — and subtasks are explicitly linked to a specific Purchase Order or Work Order line item, not freeform text. That's what ties the schedule back into the room-level traceability described above.

RFIs, Submittals & Scope Changes

Three more tabs on a Job, all following the same simple pattern: a list of items, a detail view, and a discussion thread.

How they work

RFI's (requests for information), Submittals, and Scope Changes each get their own tracking tab. Open any item to see its detail and a comment thread — the same discussion pattern used on Purchase Orders and Work Orders, including tag notifications to Messages.

Vendors & Clients

The Contacts section in the sidebar holds two directories — the shared source of truth for who Trinity works with.

A searchable client directory. Opening a client shows their linked projects, with the option to link additional ones or unlink a project you added by mistake. A project's own Overview tab also shows and edits which client it's linked to — but linking itself is managed from the client's page.

Messages

Your Messages is Employee Hub's notification center — not a general chat, but a record of where you've been tagged or commented on.

Tagging You / Sent by You

Tagging You lists notifications generated whenever someone comments or tags you on an RFI, Submittal, Scope Change, Purchase Order, or Work Order. Sent by You is the reverse — a record of what you've posted. New messages arrive in near real time, and the sidebar shows an unread-count badge so you know at a glance if something needs you.

Payroll Review Admin / assigned PM only

Payroll Review is a pre-payroll compliance check, not a personal time clock — regular employees don't have a self-service punch-in/punch-out feature anywhere in Employee Hub.

How it works

An admin (or a PM specifically assigned to a job) uploads a Buildertrend time-clock export (.xls/.xlsx) on the job's Payroll Review tab. The app checks each entry against configurable regular/overtime/break-hour thresholds and flags anything that looks off before it goes to payroll.

Admin only: editing the hour thresholds and choosing which employees can review which job's payroll ("Assigned Projects") is restricted to admin accounts.

Signing out

Click Sign out at the bottom of the sidebar. There's currently no in-app password-change screen — if you need your password reset, contact Jen.
